Site Operations & Maintenance Supervisor

Location: Sydney CBD
Asset Type: Premium Commercial & Retail Precinct

About the Role

We are seeking an experienced and motivated Site Operations & Maintenance Supervisor to lead the day-to-day operations of a prestigious commercial and retail asset in Sydney's CBD. Reporting to the Operations Manager, you will be responsible for leading a small on-site team, coordinating maintenance activities, managing contractors, and ensuring the asset operates safely, efficiently, and to the highest standards.

This is a hands-on leadership role requiring a strong operational background, excellent stakeholder management skills, and a commitment to delivering exceptional customer service within a premium property environment.

Key Responsibilities

Team Leadership

  • Lead, mentor, and develop a small team of maintenance and operations personnel.
  • Allocate daily work activities, monitor performance, and ensure service standards are consistently achieved.
  • Foster a collaborative, accountable, and safety-focused culture.
  • Conduct regular toolbox talks, coaching sessions, and performance reviews.
  • Support the ongoing development and training of team members.

Operations & Maintenance

  • Oversee all planned, reactive, and corrective maintenance activities across the asset.
  • Ensure building services, plant, and equipment are maintained in accordance with statutory requirements and best practice.
  • Coordinate maintenance schedules, work orders, and contractor activities to minimise operational disruption.
  • Monitor asset performance and identify opportunities for operational improvements and cost efficiencies.
  • Assist with capital works planning and project coordination where required.
  • Ensure all maintenance activities comply with legislative requirements, Australian Standards, and company policies.
  • Drive a proactive maintenance culture focused on asset reliability and customer satisfaction.

Contractor & Service Provider Management

  • Coordinate and supervise specialist contractors and service providers.
  • Ensure contractor compliance with site safety requirements, permits to work, and service standards.
  • Review contractor performance and assist in managing service agreements.
  • Verify work quality and ensure all documentation is completed accurately.

Client & Stakeholder Management

  • Serve as the primary on-site representative for the client and key stakeholders.
  • Build and maintain strong professional relationships with tenants, clients, contractors, and service partners.
  • Respond promptly and professionally to operational issues and client requests.
  • Provide regular updates on maintenance activities, incidents, projects, and operational performance.
  • Deliver a consistently high level of customer service while ensuring contractual service levels are achieved.

Safety, Risk & Compliance

  • Champion a strong safety culture across the site.
  • Ensure compliance with all WHS legislation, environmental requirements, and company policies.
  • Conduct workplace inspections, risk assessments, and incident investigations as required.
  • Manage permit-to-work systems and ensure contractor compliance.
  • Support emergency preparedness activities, including drills and emergency response procedures.

Reporting & Administration

  • Maintain accurate maintenance records, statutory documentation, and compliance registers.
  • Prepare operational reports, KPI reporting, maintenance summaries, and client reports.
  • Assist with budgeting, forecasting, procurement, and financial tracking of maintenance activities.
  • Utilise Computerised Maintenance Management Systems (CMMS) to monitor work orders and asset performance.
  • Support continuous improvement initiatives through data analysis and reporting.

Skills & Experience

  • Demonstrated experience in facilities management, building operations, or maintenance supervision within commercial property.
  • Previous experience leading and developing maintenance or operations teams.
  • Strong understanding of building services including HVAC, electrical, hydraulic, fire, mechanical, and essential services.
  • Experience managing contractors and multiple service providers.
  • Excellent communication, customer service, and stakeholder management skills.
  • Strong organisational skills with the ability to manage competing priorities.
  • Proven ability to identify operational risks and implement practical solutions.
  • Proficiency with Microsoft Office and CMMS or Building Management Systems (BMS).

Qualifications

  • Trade qualification or relevant technical qualification (desirable).
  • Certificate IV or Diploma in Facilities Management, Building Services, Engineering, or related discipline (desirable).
  • Current White Card.
  • Current First Aid Certificate (or willingness to obtain).
  • Valid Australian Driver's Licence (desirable).
